Please read these terms of use carefully before using the Aesthetidocs website, mobile app, or online appointment booking platform (the site) – your use of the site is subject to these terms.
The site is operated by Aesthetidocs Limited (Aesthetidocs, we, our or us) of Lockview House, 49 Lockview Road, Belfast, Northern Ireland, BT9 5FJ.
By using our site, you confirm that you accept these terms and that you agree to comply with them. If you do not agree to them, you must not use our site.
Our site is a service operated by us to facilitate the arranging and managing of bookings with aesthetic treatment clinics. These terms only apply to the booking management process. You may be subject to additional terms and conditions with your treating clinic or practitioner which govern your relationship with them and any services they provide to you.
When you use our site, you will be providing us with personal data about you. You can see how we use personal data by going to our privacy policy www.aesthetidocs.com/privacy
Authorization to use the site
Subject to your compliance with these terms, you may access or use the site solely for the purpose of arranging, managing, and paying for bookings with clinics or practitioners offering aesthetic treatment services.
You must not access or use the site except as permitted by these terms. In particular, you must not and must not permit any other person to:
- Pretend that you are, or that you represent, someone else, or impersonate any other individual or entity when using the site.
- Resell, assign, transfer, distribute or provide others with access to the site or any of our materials.
- Copy, modify, frame, repost, publicly perform or display, sell, reproduce, distribute, or create derivative works of the site.
- Use the site to transmit, publish or communicate material that is defamatory, offensive, abusive, indecent, menacing or unwanted.
- Use the site in any way that damages, interferes with or interrupts the availability of the site.
- Introduce malicious programs into our hardware and software or our hardware, software and services which are integrated and operate together, including our networks, including viruses, worms, trojan horses and e-mail bombs.
- Reveal your account password to others or allow others to use your account.
- Use the site to carry out security breaches or disruptions of a network. Security breaches include accessing data where you are not the intended recipient or logging into a server or account that you are not expressly authorised to access or corrupting any data (including network sniffing/monitoring, pinged floods, packet spoofing, denial of service and forged routing information for malicious purposes).
- Use any program/script/command, or send messages of any kind, with the intent to interfere with, or disable, any person’s use of the site.
- Send any unsolicited messages through or to users of the site or to send any form of harassment via email, or any other form of messaging, whether through language, frequency, or size of messages or use the site in breach of any person’s privacy (such as by way of identity theft or “phishing”).
Any non-compliance by you with these terms shall give us the right to suspend provision of the site to you and access to your account, and to terminate our relationship with you without liability.
Reservation of rights
Aesthetidocs and its licensors each own and retain their respective rights in and to all logos, company names, marks, trademarks, copyrights, trade secrets, know-how, patents and patent applications that are used or embodied in or otherwise related to the site. Aesthetidocs grants no rights or licenses (implied, by estoppel, or otherwise) whatsoever to you under these terms.
Information provided to us
You are solely responsible for all data, information and other content, that you upload, post, or otherwise provide or store in connection with or relating to the site.
By providing us any information through the site, you grant Aesthetidocs a worldwide, non- exclusive, perpetual, irrevocable, royalty-free, fully paid, sublicensable and transferable license to use, modify, reproduce, distribute, display, publish and perform that information in connection with the site. Aesthetidocs may remove or disable any information provided by you at any time for any reason, or for no reason at all.
You agree that we may share any information provided by you with the treating clinic or practitioner with whom you are seeking to make or have made an appointment.
Your commitments
You represent and warrant to Aesthetidocs that your activity on the site does not and will not violate, infringe, or misappropriate any third party’s copyright, trademark, right of privacy or publicity, or other personal or proprietary right.
You represent and warrant that all information you provide to us through the site is complete, accurate and not misleading. You must ensure that you promptly provide us with any updates or changes to any information previously provided to us.
Disclaimer
THE SITE AND ITS CONTENT ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITH ALL ERRORS AND DEFECTS AND WITHOUT ANY WARRANTIES OF ANY KIND, AND AESTHETIDOCS EXPRESSLY DISCLAIMS ALL REPRESENTATIONS AND WARRANTIES, INCLUDING ANY IMPLIED WARRANTIES OF ACCURACY, COMPLETENESS, MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE OR NON-INFRINGEMENT, AND ANY REPRESENTATIONS OR WARRANTIES ARISING FROM COURSE OF DEALING, COURSE OF PERFORMANCE OR USAGE OF TRADE. YOU ACKNOWLEDGE THAT AESTHETIDOCS DOES NOT WARRANT THAT YOUR ACCESS OR USE OR BOTH OF THE SITE AND ITS CONTENT WILL BE UNINTERRUPTED, TIMELY, SECURE, ERROR-FREE OR VIRUS-FREE, AND AESTHETIDOCS DOES NOT MAKE ANY WARRANTY AS TO THE RESULTS THAT MAY BE OBTAINED FROM USE OF THE SITE AND ITS CONTENT. NO INFORMATION, ADVICE OR SERVICES OBTAINED BY YOU FROM AESTHETIDOCS OR THROUGH THE SITE WILL CREATE ANY WARRANTY NOT EXPRESSLY STATED IN THESE T&Cs AND YOU SHOULD NOT RELY ON THE SITE AND THE GENERAL CONTENT ALONE AS THE BASIS FOR ANY DECISIONS.
NOTHING ON THIS SITE CONSTITUTES MEDICAL ADVICE, AND YOU SHOULD ALWAYS SEEK ADVICE FROM A QUALIFIED MEDICAL PRACTITIONER AS APPROPRIATE.
Liability
AESTHETIDOCS WILL NOT BE LIABLE TO YOU FOR ANY INCIDENTAL, CONSEQUENTIAL, INDIRECT, SPECIAL, PUNITIVE OR EXEMPLARY DAMAGES (INCLUDING DAMAGES FOR LOSS OF BUSINESS, LOSS OF PROFITS OR THE LIKE) ARISING OUT OF OR RELATING TO THIS SITE, INCLUDING WITHOUT LIMITATION, YOUR USE OR INABILITY TO USE THE SITE, SITE, MATCHING SERVICES, CONTENT, PROPRIETARY INFORMATION, OR ANY INTERRUPTION OR DISRUPTION OF SUCH USE, EVEN IF AESTHETIDOCS HAS BEEN ADVISED OF THE POSSIBILITY OF SUCH DAMAGES AND REGARDLESS OF THE CAUSE OF ACTION (WHETHER IN CONTRACT, TORT, BREACH OF WARRANTY OR OTHERWISE). THE AGGREGATE LIABILITY OF AESTHETIDOCS WITH REGARD TO THESE TERMS WILL IN NO EVENT EXCEED £50.
Updates to the terms
Aesthetidocs reserves the right to do any of the following, at any time, without notice: (1) to modify, suspend or terminate operation of or access to the site, or any portion of the site, for any reason; (2) to modify or change the site, or any portion of the site, for any reason; and (3) to interrupt the operation of the site, or any portion of the site, as necessary to perform routine or non-routine maintenance, error correction, or other changes.
Aesthetidocs reserves the right, at its sole discretion, to change or modify portions of these terms at any time. Your continued use of the site after the date any such changes become effective constitutes your acceptance of the new or revised terms.
Jurisdiction
These terms shall be governed by and interpreted according to the law of Northern Ireland and all disputes arising under these terms (including non-contractual disputes or claims) shall be subject to the exclusive jurisdiction of the Northern Irish courts.
Booking Terms & Conditions
Dr Charlotte Aesthetics Clinic
These Terms & Conditions apply to appointments, consultations and treatments booked with Dr Charlotte Aesthetics Clinic. By making a booking, you confirm that you have read and agree to these terms.
1. Appointments and consultations
All aesthetic treatments are subject to an appropriate consultation and assessment.
Booking an appointment does not guarantee that a particular treatment will be carried out. Treatment will only proceed where Dr Charlotte considers it clinically appropriate and safe to do so.
There is never any obligation to proceed with treatment following a consultation. Alternative options, including having no treatment, may be discussed where appropriate.
Dr Charlotte Aesthetics Clinic reserves the right to decline or postpone treatment where it would not be clinically appropriate, where there is a contraindication to treatment, where further medical information is required, or where proceeding would not be in the patient's best interests.
2. Medical information
You must provide accurate and complete information about your medical history, medications, allergies, previous aesthetic treatments and any other information relevant to your care.
Please inform Dr Charlotte of any change in your health, medication, pregnancy or breastfeeding status, or other relevant circumstances before treatment.
Withholding relevant medical information may affect whether treatment can safely be provided.
3. Prescription-only treatments
Some treatments offered by the clinic involve prescription-only medicines.
Where a prescription-only medicine is being considered, treatment is subject to an appropriate medical assessment and prescribing decision. A booking or payment does not guarantee that a prescription will be issued or that treatment will be suitable.
Where required, an appropriate face-to-face prescribing assessment must take place before treatment.
If, following assessment, a prescription treatment is considered unsuitable, alternative options may be discussed where appropriate.
4. Booking deposits
A £50 booking deposit is required to secure treatment appointments.
The deposit forms part of the treatment price and will be deducted from the balance payable at your appointment.
Booking deposits are subject to the cancellation and rescheduling terms below. Nothing in these terms affects your statutory consumer rights.
5. Cancelling or rescheduling your appointment
We understand that plans sometimes change. Please provide at least 48 hours' notice if you need to cancel or reschedule your appointment.
Where at least 48 hours' notice is provided, your £50 deposit can be transferred to a rescheduled appointment or refunded where applicable.
Where less than 48 hours' notice is provided, the £50 booking deposit may be retained to reflect the appointment time reserved for you and the clinic's reasonable losses arising from the late cancellation.
A new £50 deposit may be required to secure a replacement appointment.
We recognise that genuine emergencies and exceptional circumstances can occur. These will be considered individually and fairly.
Repeated late cancellations may result in full or partial payment being required in advance for future appointments.
6. Missed appointments
If you do not attend your appointment and have not contacted the clinic beforehand, this will be treated as a non-attendance.
Your £50 booking deposit may be retained, and a new deposit may be required before another appointment can be booked.
Following repeated non-attendance, Dr Charlotte Aesthetics Clinic may decline to accept future bookings or require payment in advance.
7. Late arrival
Please arrive on time for your appointment.
If you arrive late, your appointment may need to be shortened, rearranged or cancelled to avoid affecting subsequent patients.
Treatment will never be rushed where there is insufficient time to carry it out safely and appropriately. If your appointment can no longer reasonably proceed because of late arrival, this may be treated in the same way as a late cancellation and your booking deposit may be retained.
8. Clinic cancellations
Occasionally, the clinic may need to cancel or rearrange an appointment due to illness, emergencies, product availability or other circumstances outside our reasonable control.
We will provide as much notice as reasonably possible and offer an alternative appointment.
Where the clinic cancels an appointment and a suitable alternative cannot be agreed, any payment relating to treatment not provided will be refunded.
Dr Charlotte Aesthetics Clinic is not responsible for consequential expenses such as travel, childcare or loss of earnings arising from an appointment being rearranged or cancelled, except where liability cannot lawfully be excluded.
9. Online bookings and statutory cancellation rights
Where a contract for services is entered into online or otherwise at a distance, you may have a statutory right to cancel the contract within 14 days without giving a reason.
If you request an appointment or service to take place during this 14-day cancellation period, you are expressly requesting that the clinic begins providing the service before the cancellation period has ended.
Where services have already been provided at your request before you exercise your statutory right to cancel, you may be required to pay a proportionate amount for the services already supplied.
Where a service has been fully performed during the cancellation period following your express request and acknowledgement, your statutory right to cancel that service may end once it has been fully performed.
Nothing in these Terms & Conditions limits your statutory rights.
10. Treatment suitability and consent
Aesthetic treatment is elective and individual suitability must be assessed before treatment.
Before treatment, the proposed procedure, expected benefits, reasonable alternatives, material risks and limitations will be discussed with you. You will have the opportunity to ask questions before deciding whether to proceed.
Consent is an ongoing process. You may change your mind or withdraw consent at any point before treatment.
Completing an online consent form does not replace the clinical consent discussion that takes place with your treating doctor.
11. Treatment results
Individual responses to aesthetic treatments vary.
No particular result, degree of improvement or duration of effect can be guaranteed. Examples, photographs or descriptions of previous results should not be interpreted as a guarantee that you will achieve the same outcome.
Some treatments require a course of treatment, maintenance treatment or more than one session to achieve the intended clinical objective.
Normal ageing, lifestyle, individual anatomy, metabolism, skin condition and other factors may affect treatment response and longevity.
12. Risks, side effects and complications
All medical and aesthetic procedures carry potential risks and side effects.
Relevant risks, expected recovery and potential complications will be discussed before treatment and included within the appropriate treatment consent process.
You should follow the aftercare advice provided by the clinic and contact Dr Charlotte Aesthetics Clinic promptly if you have concerns following treatment.
You will be provided with information about how to seek assistance if you experience a complication or adverse reaction.
In an emergency or where you develop symptoms requiring urgent medical attention, you should seek appropriate emergency medical care rather than waiting for a response from the clinic.
13. Review appointments
Where clinically appropriate, a review may be recommended following treatment.
The timing and purpose of reviews vary according to the treatment performed.
A review appointment is intended to assess the outcome of treatment and any clinical concerns. It does not automatically entitle a patient to additional treatment or product free of charge.
Where further treatment is clinically appropriate, any applicable costs will be discussed before proceeding.
14. Treatment courses and packages
Where a course or package of treatments is purchased, the recommended treatment intervals will be explained to you.
Unless otherwise stated at the time of purchase, treatment packages are for the named patient only and are not transferable.
Any expiry period or specific conditions applying to a treatment package will be clearly communicated at the time of purchase.
If a course cannot be completed because further treatment becomes medically inappropriate, the clinic will discuss the remaining balance and any refund due for treatment not provided, taking into account services already received.
15. Prices and payment
Current treatment prices are displayed through the clinic's booking system and/or communicated before treatment.
The price applicable to your treatment will be confirmed before treatment takes place.
The £50 booking deposit will be deducted from the treatment price, with the remaining balance payable on or before the day of treatment unless otherwise agreed.
Any additional treatment will only be undertaken following discussion and agreement of the associated cost.
16. Refunds
Aesthetic treatments are medical services rather than products with a guaranteed cosmetic outcome.
A refund will not normally be provided solely because a patient is dissatisfied with an outcome where treatment has been appropriately provided with reasonable care and skill.
However, this does not affect your statutory rights. If you have concerns about treatment or believe that a service has not been provided with reasonable care and skill, please contact the clinic so that the matter can be reviewed appropriately.
Refunds for treatment not provided will be considered in accordance with these terms and applicable consumer law.
17. Children and accompanying guests
For reasons of safety, privacy and concentration during medical procedures, please avoid bringing children to treatment appointments wherever possible.
If you need to bring a child or another person with you, please contact the clinic in advance. The clinic may need to rearrange an appointment if treatment cannot be carried out safely or confidentially.
18. Photography
Clinical photography may be recommended or required as part of your medical record to document assessment, treatment planning and treatment outcomes.
Clinical photographs held as part of your medical record will be treated as confidential patient information.
Photographs will not be used for social media, advertising, educational material or other promotional purposes without separate, specific consent.
Declining consent for marketing use of photographs will not affect your care.
19. Confidentiality and data protection
Dr Charlotte Aesthetics Clinic collects and processes personal information, including health information, where necessary to provide safe and appropriate care, manage appointments, maintain clinical records and meet legal and professional obligations.
Health information is sensitive personal data and will be handled in accordance with applicable data protection law.
Further information about how your personal information is collected, used, stored and shared is provided in the clinic's Privacy Notice.
Information will not be used for direct marketing where consent or another lawful basis is required unless the relevant requirements have been met. You may opt out of marketing communications at any time.
20. Behaviour and safety
Dr Charlotte Aesthetics Clinic is committed to providing a respectful and safe environment.
Abusive, threatening, discriminatory, sexually inappropriate or aggressive behaviour towards the practitioner or anyone associated with the clinic will not be tolerated.
Treatment may be declined or an appointment ended where behaviour creates a safety concern or makes it inappropriate to continue providing care.
21. Complaints and concerns
If you are unhappy with any aspect of your experience, please contact Dr Charlotte Aesthetics Clinic so that your concerns can be addressed.
Complaints will be handled fairly, professionally and confidentially in accordance with the clinic's complaints procedure.
Making a complaint will not adversely affect your care.

22. Your statutory rights
Nothing in these Terms & Conditions excludes or restricts any rights or remedies that cannot lawfully be excluded, including your rights under applicable UK consumer protection legislation.
Services provided by Dr Charlotte Aesthetics Clinic will be performed with reasonable care and skill.
23. Changes to these terms
These Terms & Conditions may be updated periodically to reflect changes in clinic procedures, services, professional guidance or applicable law.
The terms applicable to a booking will be those made available to you when the relevant contract is entered into.
